To help ease the stress and make the process significantly less daunting, we had our sales team put together their best advice to create our corporate meeting checklist. Not only will this keep you sane, but will help your group stay productive!
Kahn’s Catering – The Corporate Meeting Checklist
A well-configured meeting space. If you will be using a projector or utilizing speakers, set up your meeting room so that each attendee can clearly see the information being presented. Kahn’s Catering knows meetings, and how to set the room for optimal configuration.
All necessary equipment and adapters to run any meeting-specific technology. If you are using a projector, know how to use it before the morning of the meeting. Make sure all technology is plugged in, has the right batteries, and is set up for your particular presentation. If you anticipate your attendees to work from their laptops during meetings, be sure there are available power sources for attendees to charge their computers.
Clearly defined places for attendees to be seated and unpack their things. This means making certain to have enough chairs and table space to comfortably accommodate all meeting members. Having a little bit of space to spread out will allow each member to approach the meeting with a feeling of ease. Additionally, offering a coat check helps limit the clutter in the meeting space and can take away from distractions. Coat checks do not need to be formal with an attendant, a well-placed coat rack outside of the meeting room works just as well.
Copies of all necessary meeting documents– including spreadsheets, agendas, notes, reports and more. These can be printed and left at each seat, distributed via email, or given to each attendee at check-in.
Pads of paper and pens for taking notes – you never know what works best for your corporate meeting attendees and having multiple ways for keeping track of information ensure that no one is left out of the productivity. Whether your attendees choose to use paper or work electronically, be prepared for both.
